A Relieving Letter Format is provided by the company to the employee who has resigned formally and this letter is an acceptance to his/her resignation. This step is taken by the employee to achieve goals, whether switching companies or for pursuing education abroad. Relieving Letter: Overview

The employee, when leaving the organization, has to serve notice period in the company before which they cannot leave the organization in most cases. When they complete the notice period, the employee is given an official document which states that the employee has been relieved from his/her duties and responsibility on the role on which he/she is working in the organization.

This document is known as a relieving letter. Often termed as an Experience letter, the document contains essential details like CTC, designation, joining date, last working details, etc. 

How To Write Relieving Letter?

It is quite a task for the employer to know what exactly a relieving letter should constitute.

Given below is a stepwise guide, as to what must be included in the Relieving Letter:

  1. Relieving letter Issuance Date: The first thing to be included in the relieving letter format, is the date on which a relieving letter is issued.
  2. Employee’s Detail: After mentioning the issuance date, resigning employees’ full name, designation, department, employee ID, and the name of the organization has to be mentioned.
  3. Subject: Under this part, employers can describe what the letter is all about. Else they can state ‘Relieving letter’ as the subject or reference line.
  4. Resignation details of Employees: The relieving letter format’s second paragraph must state the acceptance of the employee’s resignation. This paragraph explains that the employee has been relieved from the date and designation.
  5. Appreciation Statement: The second paragraph should assure the employee that they would receive the full and final settlement within a stipulated period.
  6. Signature: While concluding the relieving letter with ‘sincerely,’ employer’s Signature, designation, and the date of issue.
